Keeping documents secure matters, especially when your business handles customer records, signed forms, estimates, or other sensitive files. This update gives you better control over note attachments inside your CRM by making new uploads private by default and giving you more ways to safely share them when needed.
π Why This Matters
Small business owners often share important documents with staff, customers, or partners, but not every file should be open to anyone with a link. With private-by-default note attachments, you can better protect sensitive information, reduce accidental sharing, and choose the right access level for each document.
β¨ Whatβs New
- Private by default: Any new document uploaded through the notes section is stored in the Notes attachments folder under Documents and starts as private.
- Flexible sharing options: When you need to send a file, you can choose a public link, private link, OTP-protected link, or password-protected link based on how sensitive the document is.
- Older files stay the same: Documents uploaded through notes before this change will keep their current public status.
- Extra protection for older files: Even if an older document is already public, you can still create a private link when you want more control over access.
- More consistency coming: Similar privacy and access controls are expected to expand to document attachments used in custom fields as well.

π οΈ How to Use It
- Step 1: Upload documents through the notes section as you normally would.
- Step 2: Find the file in your Notes attachments folder under Documents, where new uploads will now be private automatically.
- Step 3: When sharing a file, choose the access type that fits the situation best, such as public, private, OTP-protected, or password-protected.
- Step 4: Review any older note attachments that may still be public and switch to a private sharing method when needed.
π‘ Pro Tip
If you regularly send quotes, contracts, or intake forms, using private or protected links can help you build trust and avoid costly mistakes that slow down sales.
