Send Contracts with Multiple Signers

If your paperwork often needs more than one signature, this update makes life a lot easier. You can now set up documents and contract templates with multiple signer roles—like buyer, seller, witness, co-signer, or guarantor—so the right people are included automatically when the document is sent through your CRM workflow.

📌 Why This Matters

For many small businesses, agreements are not always signed by just one person. You may need a customer and a spouse, a tenant and a guarantor, or a buyer and a witness. Without built-in signer roles, that usually means retyping names and emails every time, creating extra versions of the same template, or risking mistakes that slow down the deal.

With multiple signer roles saved directly in your template, your CRM can fill in the right details for each person and send the document without all the back-and-forth manual work.

✨ What’s New

  • Multiple signer roles in one template: Add up to 6 roles to a single document template, such as buyer, seller, witness, co-signer, or any custom role your business needs.
  • Role-based fields: Assign signature, date, and other fillable fields to each signer so every person knows exactly where to sign.
  • Automatic role population in workflows: When a document is sent through a workflow, signer details can be filled in automatically based on the roles you set up.
  • Flexible overrides: If a name, email, or phone number changes for a specific deal, you can update that role before sending without editing the original template.
  • Fewer errors: Auto-filled role details help cut down on missed fields, duplicate template confusion, and typing mistakes.
  • Helpful safeguards: If a required signer email is missing or duplicated, the system will alert you before sending.

🛠️ How to Use It

  1. Step 1: Open your document, proposal, or estimate template and create the signer roles you need, such as customer, co-signer, witness, or guarantor.
  2. Step 2: Assign at least one fillable field, like a signature or date field, to each role so every signer has a place to complete their part.
  3. Step 3: Make sure at least one fillable field is assigned to the main contact, since this is required for the workflow send action to work properly.
  4. Step 4: Add the send document step inside your CRM workflow and choose your multi-signer template.
  5. Step 5: Review the signer details before sending. If needed, update or replace any role’s name, email, or phone number for that specific document.
  6. Step 6: Send the document through the workflow so each signer receives it based on the role setup in your template.

📌 Good to Know

  • Up to 6 roles: Each template can include as many as 6 signer roles.
  • Template-specific roles: Roles stay tied to the template where you created them.
  • Workflow sending only: Automatic role population works when documents are sent through a workflow, not through manual sending.
  • Overrides come first: If you change role details at the workflow level, those values replace the template defaults.
  • Web availability: This feature is currently available on web.

💡 Pro Tip

If your sales or service agreements often involve more than one signer, setting up one reusable multi-signer template can help you send paperwork faster and get paid sooner.
